Assistant Merchandiser

Position based in Koforidua, Ghana

Maagrace Garment Industries Limited (MGIL) is a leading apparel manufacturer established in 2003 in Ghana, with a workforce of around 1,000 and capacity to grow to 2,000. We produce heavy and lightweight garments including fleece, sweats, nightwear, underwear, shirts, schoolwear, and dancewear, mainly for large-scale brands in the USA, under strict quality and compliance requirements. We are a free zone enterprise with a strong social mission and a particular focus on creating opportunities for women.

We work in strategic partnership with Ethical Apparel Africa (EAA), a Ghana-headquartered sourcing company that helps international brands manufacture ethically in West Africa. You will work alongside the MGIL and EAA technical teams.

 

Position overview

The Assistant Merchandiser will support the merchandising team in coordinating customer orders, product development, sampling, costing, production follow-up, and shipment activities. They will report to the Senior Merchandiser and will work closely with the merchandising, sourcing, production, quality, logistics, and accounts teams to ensure orders are executed on time and according to customer requirements. 

Key Responsibilities

Order & PO Management

  • Assist in receiving and reviewing customer purchase orders. 

  • Ensure timely and accurate updating of customer orders, PO details, supplier PO into ERP systems (training provided) 

  • Maintain order details, quantities, prices, delivery dates, and specifications. 

  • Update order status and follow up on pending actions. 

  • Maintain accurate order and production tracking sheets. 

 

Sampling & Product Development

  • Coordinate with the technical and production teams for sample development. 

  • Follow up on fabric, trims, labels, packaging, and accessories required for samples. 

  • Track sample submissions and customer comments in the internal chart 

  • Ensure comments/revisions are communicated to the relevant departments. 

 

Fabric & Trims Follow-up

  • Coordinate with the sourcing team regarding fabric and trim availability. 

  • Follow up on fabric booking, production, testing, and delivery. 

  • Check whether materials are available according to the production plan. 

  • Maintain fabric and trims status reports. 

Costing Support

  • Assist senior merchandisers in preparing garment costing. 

  • Collect fabric, trims, packaging, CMT, testing, logistics, and other cost information. 

  • Compare supplier quotations and maintain costing records. 

  • Learn how garment consumption and fabric pricing affect FOB pricing. 

 

Production Follow-up

  • Coordinate with production, cutting, sewing, finishing, and quality teams. 

  • Monitor production progress against the planned delivery date. 

  • Highlight delays or potential problems to the senior merchandiser. 

  • Maintain daily/weekly production status reports. 

 

Shipment & Logistics

  • Coordinate with the logistics team regarding shipment planning. 

  • Follow up on carton quantities, packing lists, shipping documents, and dispatch dates. 

  • Assist in preparing shipment status reports. 

  • Ensure the merchandising team is informed of any shipping delays. 

 

Customer Communication

  • Assist in preparing professional emails to customers. 

  • Follow up on approvals, comments, orders, samples, and deliveries. 

  • Maintain proper communication records. 

  • Escalate important customer issues to the Senior Merchandiser 

 

Qualifications and attributes

  • Diploma or degree in business, supply chain, finance or accounting, or a related field. A fashion, textile or apparel qualification is an advantage but not essential.

  • 2 to 3 years of relevant professional experience, ideally within a manufacturing or industrial environment.

  • Ownership and drive: takes initiative, works with urgency, and follows tasks through to completion.

  • Strong numerical and analytical ability.

  • Proficient in Microsoft Excel, including pivot tables, formulas and report building.

  • Effective follow-up and cross-team coordination.

  • High attention to detail and accuracy.

  • Works well under deadlines and competing priorities.

  • Eager to learn garment manufacturing and merchandising.
