Programme and organization descriptions
The GIZ public-private-partnership programme (develoPPP) was established by the German government (BMZ) as a way to support and foster the involvement of the private sector in developing countries and emerging economies. GIZ has launched a public-private partnership programme with a consortium of private firms -- sourcing company Ethical Apparel Africa, digital pattern company Gerber, interlining supplier Freudenberg and needle supplier Groz Beckert -- focused on the emerging apparel industry in West Africa. The primary objective of the programme is to strengthen up to 15 small and medium-sized (SMEs) clothing manufacturers for the export market in order to create qualified and socially responsible employment.
This programme focuses on classroom-based and in-factory Technical Vocational Training to build a pipeline of skilled local talent for the growing industry that will address a key barrier to competitiveness and accelerate industry growth and job creation in apparel factories in West Africa. Classroom based training in pattern development and mechanics will be delivered at local university Accra Technical Training Centre (ATTC). In addition the Centre will provide services to local SME’s that require mechanic & pattern making support.
The Global Apparel Training Association (GATA) is the nonprofit, capacity building arm of Sourcing Company Ethical Apparel Africa. GATA is responsible for the training design and curriculum development plus training delivery through a team of international experts. The project will run until July 2022 through GIZ and then will be directly managed by the ATTC.
Position overview
We have a great opportunity for an experienced and dynamic individual to join our team for the position of Administration Assistant for the DMS Implementation. This is a perfect role for someone willing to upgrade the skills of existing Factories in how to monitor and improve their systems to run production efficiently. The person will report to the Technical Project Manager and will have the following roles and responsibilities:

Follow an initial in depth training to :
-
understand what tools and resources (Reports/Formats/templates) are used in the apparel manufacturing industry from a technical and social compliance/ H&S point of view

Understand the purpose, functionality and frequency to use these tools and resources for each production department

Conduct needs assessments with factories and technical Trainers to identify document management requirements of departments.

Closely work with the Technical Trainers to understand their training plans and ensure the training curriculums are consistent and include how to use these tools and resources.

Closely work with the new Web Developer to create all the tools and resources that they will upload onto the new website

Develop and test training material for end users of document management systems.

Conduct the actual training at the factories and assess the knowledge and use of these tools and resources

Provide follow up training and support to factories in order for them to integrate these tools in their daily operations and to analyze, interpret, or disseminate system performance data.

When necessary, update and improve the tools and resources based on trainers and factories feedback and ensure this is also updated on the website.

Closely work with the GATA Administration Assistants and the Webmaster to ensure activity updates are reflected on the website.

Provide administrative and logistical support to GATA Managers on a daily basis and complete any other administrative tasks as assigned by the Technical Project Manager.
Qualifications & Attributes

Good first degree in Management systems, industrial Engineering, Computer Science, information technology or relevant related field

At least five years relevant post qualification experience in the IT industry, Garment Industry

Excellent analytical skills

Excellent oral and written communication skills as well as good presentation skills

Ability to understand different audiences need and translate this into user friendly web pages

Fluency in English as well as in the local languages in Ghana (Twi, Ewe, Ga, Fan).
